Lead handling and routing
A form submission arrives, someone reads it, decides whose it is, enriches it with a quick search, and pastes it into the CRM. Multiply by every enquiry and it is a part-time job. Automated, the same sequence takes seconds and produces consistent records rather than whatever each person thought to type.
The AI contribution here is classification and extraction — reading unstructured text and turning it into fields — not the moving of data, which ordinary integrations have handled for years.
Support triage and first response
Incoming tickets can be categorised, prioritised, and routed on arrival, with routine cases answered outright from the knowledge base and the rest handed over with a summary attached. The queue a person opens is then already sorted by what actually needs them.
Onboarding and document collection
Client onboarding is a checklist that someone chases by email. Automating the chase — request, remind, verify receipt, flag what is missing — removes the least valuable and most easily forgotten part of the work, and the status is visible without anyone asking for it.
Reporting and internal summaries
Weekly reports are usually the same query run against the same sources, rewritten into prose. Generating the draft automatically and having a person edit it inverts the effort: the time goes into the judgement rather than the assembly.
Where to start, and where to stop
Pick the workflow that is highest volume and lowest ambiguity. Automate it end to end, including the failure path, and measure what it saves before adding the next one. A single reliable automation is worth more than five that each need supervising.
Put a human checkpoint wherever an error would be expensive or hard to reverse — anything that sends money, deletes records, or speaks to a customer in your name. The aim is removing repetitive work, not removing oversight.
